Managed IT, cybersecurity and ERP for Toronto organizations

Toronto organizations work under close scrutiny from clients, insurers and regulators, often across several offices and a hybrid workforce. We run the IT, security and business systems behind that work so your people can get on with theirs.

Toronto organizations and the pressure they work under

Toronto is the country's largest business centre: banks, insurers, asset managers and fintech firms along the financial core, law and accounting practices, head offices of national retailers and distributors, hospitals and health research, universities, media and a large technology sector. Around them sit thousands of mid-sized firms that serve those larger players and inherit their expectations.

That context shapes the IT problems we see most often in the city:

  • Security questionnaires before the contract. Clients, lenders and insurers now ask for multi-factor authentication, endpoint detection, tested backups and an incident response plan before they sign or renew.
  • Hybrid work spread across the city. Staff split time between a downtown office and home, which stretches old VPNs, shared drives and phone systems.
  • Growth through acquisition. Firms that buy another practice or distributor end up with two email tenants, two accounting systems and nobody sure where the data lives.
  • An IT person, or a small team, carrying too much. Internal staff are pulled between help desk tickets and the projects leadership wants delivered.

What we do for organizations in Toronto

Our managed IT services give you one accountable team for the help desk, devices, Microsoft 365, networks, cloud and backups. For firms that already employ IT staff, co-managed IT fills specific gaps such as after-hours coverage or security operations.

On the security side, our cybersecurity services cover multi-factor authentication, endpoint detection and response, email filtering, logging and awareness training, set up so you can answer an insurer's or client's questionnaire with evidence rather than hope. Privacy and compliance readiness work documents safeguards, access reviews and breach response.

Many Toronto firms also run their operations on spreadsheets and disconnected tools. Prometheus ERP brings finance, inventory, projects, HR and customer records into one system, and our system integration work connects it to your CRM, e-commerce, banking or practice management software so data is entered once.

How support works in Toronto

Your staff reach the help desk by portal, email or phone, and managed-service clients have support around the clock, including evenings and weekends when trading, closing or reporting deadlines do not wait. Almost everything, from password resets to firewall changes and Microsoft 365 administration, is handled remotely, which means an office on King Street and an employee working from home in East York get the same response.

When a job needs someone physically present, such as a new office fit-out, cabling, replacing network hardware or helping with a move between floors, we arrange the visit with you. How on-site work is scheduled and billed is set out in your service agreement, along with the response targets for each priority level.

When your firm grows or merges

Toronto firms often expand by opening a second office in the suburbs or by acquiring a smaller competitor. Both moves are easier with a plan. We start with a short IT consulting review: which systems, licences and devices each side has, where data is stored, who has admin rights and what the contracts say. From there we plan the move to one Microsoft 365 tenant, one set of security policies and, where it makes sense, one ERP, in stages that avoid a big-bang weekend. Staff get clear instructions before each step, and old accounts are closed properly rather than left running.

Privacy, compliance and local considerations

  • Private-sector privacy. Most Toronto businesses fall under PIPEDA, which includes mandatory breach reporting and record-keeping for breaches of security safeguards. Our article on breach reporting in Canada explains what that means in practice.
  • Financial services. Federally regulated financial institutions follow OSFI Guideline B-13 on technology and cyber risk and B-10 on third-party risk. Suppliers to those institutions are increasingly asked to show similar controls.
  • Health information. Clinics and health service providers that are custodians under Ontario's PHIPA have specific safeguard, logging and notification duties, and their IT providers act as agents or electronic service providers.
  • Public bodies and their suppliers. Organizations working with the City or provincial agencies may meet MFIPPA or FIPPA requirements through contract terms.
  • Accessibility. Ontario's AODA sets accessibility requirements for many organizations' websites and customer-facing systems.

This is general information, not legal advice. We help you put practical controls in place and keep the records that show they work.

Questions from organizations in Toronto

Can you support an office downtown and staff working from home across the city?

Yes. Most of our work is remote, so a tower office on Bay Street, a satellite office in North York and people working from home in Scarborough or Etobicoke all get the same help desk, device management and security policies. On-site visits for hardware, cabling or office moves are arranged as needed under your service agreement.

We are a financial services firm. Can you work within OSFI or our clients' vendor due-diligence requirements?

We regularly answer security questionnaires and document our controls for clients who are regulated or who have regulated customers. If you are a federally regulated institution, we can map our work to your obligations under OSFI Guidelines B-13 and B-10. We do not certify compliance; we help you evidence it. See privacy and compliance readiness.

We already have an internal IT team. Is managed IT still worth it?

Many Toronto organizations use us in a co-managed arrangement: your team keeps strategy and business applications, and we take on after-hours coverage, patching, security monitoring or project work. The split is written down so nothing falls between the two teams.

Do you keep data in Canada?

We design Microsoft 365, Azure, AWS and backup services to use Canadian regions where you need that, including Azure Canada Central in Toronto. Region choice supports data residency but does not settle every question on its own, so we also review vendor contracts and support access with you.
