Business Systems & ERP

Prometheus ERP

Prometheus is ERP software designed with your business in mind. It is Promatics' white-labelled edition of ERPNext, the open-source ERP, pre-configured for your industry, set up for Canadian taxes and bilingual teams, and delivered and supported by Promatics from the first demo to go-live and beyond.

Who this service is for

A good fit if

  • You run accounting, sales, purchasing, inventory, projects and HR in separate tools and want one system.
  • You work in healthcare or laboratory services, distribution and retail, legal services or the non-profit sector and want a system configured for your industry.
  • You want one provider responsible for the software, configuration, customization, hosting and support.
  • You want your ERP on an open-source foundation, so your data is never locked into a proprietary format.
  • You need English and French for staff, or multi-company and multi-currency operations.

Another approach may suit you better if

  • You need a provincially certified electronic medical record (EMR) for physician billing. Prometheus can run alongside it for operations and finance, and we can connect the two.
  • You need Canadian payroll calculated natively inside the ERP. We connect Prometheus to a Canadian payroll provider instead.
  • You only need basic bookkeeping for a very small business. A simpler accounting package may be enough for now.

What Prometheus is

Prometheus is an enterprise resource planning (ERP) system designed to fit organizations that need accounting, project and task management, sales, purchasing, inventory, CRM, administration, human resource management, manufacturing and other day-to-day operations in one place.

It is Promatics' white-labelled ERP, built on ERPNext, the open-source ERP. Promatics packages it with industry editions, Canadian configuration and its own support, and remains accountable for the whole system: implementation, customization, hosting, upgrades and help when you need it. Prometheus is web-based and cross-platform, so it runs in a browser on any device, and everything we build is easily extended to neighbouring systems across your organization through its APIs.

Core modules

  • Accounting: general ledger, receivables and payables, bank reconciliation, budgets, multi-currency and financial statements.
  • Sales and CRM: leads, opportunities, quotations, sales orders and customer history.
  • Purchasing: supplier quotations, purchase orders, receipts and supplier records.
  • Inventory: multiple warehouses and stores, batches and serial numbers, and reorder levels.
  • Projects and tasks: plans, tasks, timesheets and project billing.
  • Human resources: employee records, attendance, leave, expense claims and appraisals.
  • Manufacturing: bills of materials, work orders and production planning.
  • Administration: assets, maintenance, documents and approvals.

Industry editions

Prometheus for healthcare and laboratories

A web-based, highly configurable system designed to run and manage your entire laboratory operation and workflow from end to end in real time, from sample collection to diagnosis and patient history.

  • Manage patient details.
  • Create appointments and consultations for patients.
  • Record patient encounters with the consultation document.
  • Manage assessments, prescriptions and medical coding from a single place.

For Canadian health organizations, we configure role-based access and audit trails with provincial health privacy laws, such as Ontario's PHIPA, in mind. Where a certified EMR is required, Prometheus runs alongside it.

Prometheus for distribution and retail

Commerce has evolved: it is customer-centric and digital-first, and it demands that sellers develop new capabilities faster than ever. Using the cloud well is essential for selling across channels, but it is far from easy. Prometheus simplifies both ends of the retail puzzle: your customers and your systems.

  • Inventory control and multi-store management.
  • Batched items, returns and credit notes handled easily.
  • Landed cost vouchers, taxes and charges, and multi-currency accounting, useful when importing goods.
  • Automated stock replenishment, automatic reorders and requisitions.

Designed from a legal practice perspective, Prometheus helps you see the big picture, with the resources your departments need in one place: matters, email, litigation, legal spend, document and contract management, e-billing and reporting, outside collaboration and calendars. It scales with your firm, so you will not outgrow it.

  • Billable and non-billable expense tracking.
  • Multiple document upload and download, with versioning and sorting.
  • Case status dashboards, cases by stage, revenue reports and more.
  • Invoices and detailed billing, customized with terms, discounts and fees.

Trust accounting rules are set by each provincial and territorial law society; we configure Prometheus to the requirements your firm and its accountant specify.

Prometheus for non-profit

A cloud-based non-profit management suite that helps organizations engage and build meaningful relationships with their contacts, using straightforward tools to automate workflows, increase capacity and reduce stress.

  • CRM and donor management.
  • Grants and membership management.
  • Email campaigns, marketing and communication.
  • Analytics, reports and project management.

Official donation receipts can be set up to include the information the Canada Revenue Agency requires, with your accountant's direction, and email campaigns can record consent in line with CASL.

Organizations in other industries start from the core modules and are configured the same way.

Built for Canadian requirements

  • Sales taxes: GST/HST, QST and provincial sales taxes, configured with your accountant.
  • Bilingual teams: English and French interfaces, chosen per user.
  • Payroll: integration with a Canadian payroll provider, with results posted back to accounting.
  • Multi-company and multi-currency: separate entities, and CAD and USD (or other currencies) in one system.
  • Privacy: role-based permissions, audit trails and a hosting location you choose.

Deployed on-premises or in the cloud, your choice

Prometheus can run on dedicated servers in your own premises or data centre, in your own cloud account, or hosted for you by Promatics. Cloud hosting can use Canadian regions where data residency matters. Wherever it runs, we set up backups, monitoring and restore testing.

Prometheus in practice, and tailored to you

Prometheus is in use today. Read how it was deployed for a nursing college and a diagnostic and ambulatory centre, or browse all case studies.

When the standard editions are not enough, we tailor Prometheus as far as you need, from custom apps and single sign-on to document capture and AI-assisted automation. See ERPNext and Prometheus customization.

What is included

The exact list is agreed in writing for each project. These are the usual deliverables and the usual boundaries.

Typical deliverables

  • A demo and fit review using your own scenarios.
  • The Prometheus edition for your industry, configured for your companies, locations and processes.
  • Chart of accounts, sales taxes (GST/HST, QST and PST) and fiscal setup, as directed by your accountant.
  • Roles, permissions and approval workflows for each team.
  • Data migration from your current systems, with reconciled totals.
  • Custom fields, reports, dashboards, print formats and automation for your requirements.
  • Integrations with payroll, banking, e-commerce, clinical or laboratory systems and other applications, as scoped.
  • English and French user interfaces where needed.
  • Hosting on-premises or in the cloud, including Canadian cloud regions, with backups and monitoring.
  • Role-based training and ongoing support.

Not included unless agreed separately

  • Accounting, tax, payroll or legal advice.
  • Third-party subscriptions and licences, such as payroll services, payment gateways or bank feeds.
  • Hardware such as servers, barcode scanners and receipt printers, unless scoped.
  • Work outside the agreed scope, which is quoted separately.

What we will need from you

Most delays in this kind of work come from access and decisions, not from the technical build. Knowing these early keeps the project predictable.

  • A project sponsor and a named owner for each business area.
  • Your accountant's direction on the chart of accounts, taxes and opening balances.
  • Exports from your current systems, and staff time to check migrated data.
  • A decision on hosting, on-premises or cloud.
  • Staff availability for testing and training.
Delivery

How the work is delivered

Each stage ends with something you can review before the next one starts.

  1. Demo and fit review

See Prometheus working through your own scenarios, then agree the edition, the modules and what goes into the first phase.

Output: Fit review and phase-one scope.

  2. Configure

Set up your edition in a test site, including companies, taxes, roles, workflows and print formats.

    Output: Configured test site.

  3. Migrate and integrate

Clean and import your data, reconcile the totals, and connect the systems that need to exchange information with Prometheus.

Output: Reconciled test migration and working integrations.

  4. Test and train

Staff run realistic scenarios in the test site, and training is organized by role.

Output: Signed-off scenarios and trained users.

  5. Go live and support

Final migration, cut-over checklist, early-life support and ongoing support under your agreement.

Output: Live system, handover pack and support plan.

Testing and handover

  • Opening balances and key totals are reconciled against your previous system before go-live.
  • Each role is tested to confirm users can do their work and cannot see what they should not.
  • Every customization is documented and kept in version control, so upgrades remain manageable.
  • Backups and a restore test are confirmed wherever Prometheus is hosted.
  • You receive administrator access and documentation, and your data stays in a standard open-source database.

What affects the cost

We do not publish package prices. Each estimate is based on an agreed scope, in Canadian dollars, with taxes shown separately. These are the things that move the number most:

  • The edition and the number of modules in scope.
  • The number of companies, locations and users.
  • The volume and quality of data to migrate.
  • The customizations and integrations required.
  • Your hosting choice and support level.

Questions buyers usually ask

Is Prometheus the same as ERPNext?

Prometheus is built on ERPNext, the open-source ERP, and keeps its core. Promatics adds its branding, industry editions, Canadian configuration, customizations and support, and takes responsibility for the whole system. Because the foundation is open source, your data is held in a standard format and is never locked in.

Does Prometheus handle Canadian sales taxes?

Yes. GST/HST, QST and provincial sales taxes are set up as tax templates and rules, following your accountant's direction. We configure what your accountant specifies; we do not give tax advice.

Does Prometheus run Canadian payroll?

Canadian payroll is handled through integration with a Canadian payroll provider of your choice. Employee records, attendance, leave and expense claims stay in Prometheus, the provider calculates and files payroll, and the results flow back as accounting entries.

Can staff use it in French?

Yes. The interface is available in English and French, and each user chooses their language. We translate custom fields, print formats and customer documents, such as invoices, where needed.

Where is our data hosted?

Your choice. Prometheus can run on your own servers or in the cloud, including Canadian regions such as AWS Canada Central in Montréal or Azure Canada Central in Toronto. Region choice supports data residency, but it is one part of your privacy obligations, not all of them.

Can we see it before deciding?

Yes. We run a demo based on your processes, not a generic tour, followed by a fit review that lists what works as standard and what would need configuration or customization.
