The challenge
Zutron Pharmaceuticals is a pharmaceutical and laboratory products company headquartered in Ghana, with offices in Nigeria. It supplies pharmaceuticals, diagnostics, laboratory consumables, medical supplies and equipment to healthcare customers.
Pharmaceutical wholesale and supply is demanding for any business system:
- Traceability. Products need to be tracked by batch and expiry date, from receipt to sale, so that short-dated stock is sold or returned in time and any recall can be answered quickly.
- Pricing and customers. Hospitals, pharmacies, clinics and distributors often buy on different price lists and credit terms.
- Imports and landed cost. Much of the product range is imported, so the real cost of stock includes freight, duties and clearing charges.
- A second country operation. The Nigerian business needs its own currency, taxes and books while staying consistent with the company's operation in Ghana.
Handling these in disconnected tools makes stock values, margins and expiry exposure hard to see.
What we implemented
Promatics deployed Prometheus, our ERP built on the open-source ERPNext platform, for Zutron Pharmaceuticals in Nigeria.
Prometheus brings accounting, sales, purchasing, inventory, CRM, administration and human resource management into one system. Its distribution and healthcare capabilities include:
- batch-managed items with expiry dates, returns and credit notes;
- inventory control across warehouses and stores;
- landed cost vouchers, taxes and charges, and multi-currency accounting;
- automated stock replenishment, reorder levels and material requests.
This summary records the deployment at the level we can confirm publicly. It does not list every module configured or every process changed.
Results
The project was completed as a Prometheus deployment for Zutron Pharmaceuticals in Nigeria. Promatics also deployed Prometheus for Zutron Pharmaceuticals in Ghana.
We have not published measured outcomes for this project, and we do not add figures after the fact.
What this means for your organization
Canadian pharmaceutical, natural health product and medical supply distributors work under their own licensing and quality rules, but the systems problem is the same: stock, traceability, pricing and finance must agree.
- Lot and expiry tracking from day one. Configure batch tracking before go-live; adding it to existing stock later is slow and error-prone.
- Customer-specific pricing and terms, kept in the ERP rather than in individual sales spreadsheets.
- True landed cost for imported goods, including duties and brokerage on shipments cleared through the Canada Border Services Agency.
- Sales tax by province. GST/HST and provincial sales tax settings configured per customer location.
- Privacy where it applies. If the business also handles patient or health information, provincial health privacy laws such as Ontario's PHIPA may apply alongside PIPEDA. This is general information, not legal advice.
