ERP for laboratories and diagnostic centres

An ERP runs a lab's business side: reagents by lot and expiry, purchasing, billing by payer, equipment, staff and finance. It works alongside your LIS or EMR, not instead of it, set up for health privacy from the start.

The short answer

A lab runs two operations: clinical work (collecting, testing, reporting) and the business (reagents, equipment, billing, staff, the books). Your laboratory information system (LIS) or EMR handles the first, an ERP the second. Connected, a test ordered in one becomes a charge, stock movement and revenue line in the other, typed once. Prometheus, our ERP built on ERPNext, has a healthcare and laboratory edition for this.

ERP, LIS and EMR: who does what

AreaUsually in the LIS or EMRUsually in the ERP
Orders, specimens, results, reportsYesReceives what billing and stock need
Instrument interfaces and result validationYesNo
Reagents, consumables, controls by lot and expirySometimesYes
Purchasing and supplier managementNoYes
Billing patients, insurers and other payersSometimesYes, with accounting
Equipment, maintenance and calibrationSometimesYes, as assets and maintenance schedules
Staff records, credentials and schedulingNoYes
Accounting, budgets and management reportingNoYes

Where a provincially certified EMR is required, Prometheus runs alongside it and does not replace it.

Smaller centres

Smaller centres sometimes also run patient registration, appointments and consultations in Prometheus: the healthcare edition can manage patient details, appointments, encounters, assessments and medical coding.

What an ERP should do for a lab

Reagents by lot and expiry

Tracked by batch in every location, with reorder minimums per site.

Receiving checks

A quality inspection (arrival temperature, certificate of analysis) before stock is usable.

Tests that drive billing

Each test or panel priced per payer; billed tests consume reagents for costing.

Equipment as assets

Analyzers, centrifuges, refrigerators: maintenance, calibration, service history, depreciation.

Staff and credentials

Qualifications, renewal dates, schedules and training, with reminders before anything lapses.

Finance that closes cleanly

Revenue by test, payer and site, cost per test, budgets, month-end: one ledger.

More detail
  • Lot tracking lets you issue the right lot, see what expires next month and trace which lot was in use on a given day.
  • Collection sites and the main laboratory each have their own minimums, with purchase requests raised automatically.
  • Payers include patients, private insurers, employers, other laboratories and institutional clients; pricing rules keep contract rates straight.
  • Staff qualifications, schedules and training sit in the HR module.

Privacy and access in a Canadian context

Labs hold personal health information. Depending on province and type of organization, a provincial health information law such as Ontario's PHIPA may apply, and PIPEDA for commercial activities. For the ERP:

Only what it needs

Billing needs a patient reference and the tests performed, not full results.

Role-based access

Finance, purchasing and front desk see different things: ERPNext role permissions, tested by role.

Audit trails

Who changed sensitive records, and who viewed them where your policies require it.

Hosting location

Decide where system and backups live; Canadian regions support residency, not every obligation.

General information, not legal advice: your privacy officer or legal adviser should confirm what applies to you.

What usually goes wrong

MistakeWhy it matters
Making the ERP the LISValidation and instrument interfaces need a system designed (and where required approved) for them
Tests not linked to stockStock and cost per test drift apart
Payer rules in people's headsBilling depends on who is on shift
Integration left until lastThe LIS or EMR link shapes the design; we connect by REST API, file exchange or HL7 where supported
  • We know the source of truth for patients, orders and results.
  • Reagents and consumables are tracked by lot and expiry in every location.
  • Each test has a price per payer, and contract rates are recorded.
  • Billed tests are linked to the reagents and consumables they use.
  • Equipment has maintenance and calibration schedules on record.
  • Roles and permissions are defined for finance, purchasing, front desk and management.
  • Hosting location, backups and audit trails are agreed with our privacy officer.

Prometheus in practice

Examples of Prometheus deployments for diagnostics and laboratory organizations are available on request. For Canadian labs and clinics, the edition is configured for:

  • Provincial sales taxes where they apply
  • English and French interfaces
  • Canadian hosting options
  • Your provincial privacy requirements

When to bring in help

A small clinic with simple billing can often use accounting software and a well-run LIS. Bring in an ERP partner for several sites, many payers or contract rates, unclear reagent costs, or a clinical-to-business integration. With Promatics, one team configures, integrates, migrates, trains and supports you afterwards.
