Managed IT & Support

IT staff augmentation

Sometimes you need more IT capacity, not a new provider. Our staff augmentation service places IT professionals with your team for a defined period or project, working to your priorities and processes, with Promatics behind them for support and continuity.

Who this service is for

A good fit if

  • You have a project, such as a rollout, migration or office move, that needs extra hands for a few months.
  • A team member is on leave and the work cannot wait.
  • You need a skill your team lacks, such as networking or cloud administration, for a defined piece of work.
  • Hiring a permanent person would take too long or is not justified for the workload.
  • You want to keep direction and priorities with your own IT lead.

Another approach may suit you better if

  • You want a provider to take full responsibility for outcomes. Fully managed IT or a scoped project is the better model.
  • You have no internal IT lead to direct the work day to day.
  • You need a permanent hire. A recruitment firm is better suited.

What this service is

IT staff augmentation adds IT professionals to your existing team for a defined period or project. They work under your direction, follow your processes and focus on your priorities, while Promatics handles the engagement and provides backing from our wider service team.

Why hire an internal IT person for every gap when you could draw on a team of IT professionals with different skills? Staff augmentation lets you add the right capacity when you need it, without a long recruitment process, and scale back when the work is done. It suits organizations of any size, and engagements can be shaped to fit your budget.

Roles we commonly provide

Our staff augmentation draws on the same skills we use to deliver managed services:

  • Technical implementation. Engineers who deploy new systems, rollouts and upgrades alongside your team.
  • IT help desk support. Technicians who handle user requests and first-line troubleshooting. See 24/7 IT help desk.
  • Managed IT and systems administration. Administrators who keep servers, cloud services and devices patched and running.
  • IT consulting. Senior advisors for planning, architecture and vendor decisions.
  • Network support. Specialists for firewall, switching, Wi-Fi and connectivity work. See network and connectivity services.
  • Field technical support. Technicians who work on site at your locations for installations, moves and hardware issues.

When staff augmentation makes sense

  • Projects with a clear end date, such as a Microsoft 365 migration, a device refresh or opening a new office.
  • Cover for leave, including parental leave, extended sick leave or holidays.
  • Skill gaps that are too specialized or occasional to justify a permanent hire.
  • Seasonal peaks, such as year-end or a busy operating season.

If you need ongoing help with routine work rather than a person for a set period, co-managed IT is often a better fit, because Promatics then takes responsibility for agreed tasks using our own tools and processes.

What Promatics handles

You direct the work; we handle the engagement around it. Promatics remains responsible for the professional we place: scheduling, time records, invoicing and support. If a professional is unwell or unavailable, we arrange cover where the agreement provides for it. If the fit is not right, tell us early and we will discuss a replacement. Our wider service team is available for escalations, so a specialist question does not stall your project while the placed professional researches it alone.

How we keep engagements working

Staff augmentation works best with clear expectations. We agree the role, hours, duration and reporting line in writing before anyone starts. Your security and confidentiality policies apply from the first day, and access is limited to what the role needs. Work is documented in your systems so the knowledge stays with your organization when the engagement ends.

Where your organization handles personal information, professionals follow your privacy practices and the obligations that apply to you under PIPEDA or provincial privacy laws. If your teams work in English and French, tell us at the start so language needs are part of the role description.

What is included

The exact list is agreed in writing for each project. These are the usual deliverables and the usual boundaries.

Typical deliverables

  • A role description agreed with you, covering skills, responsibilities, hours and duration.
  • IT professionals matched to the role, such as help desk technicians, network specialists, field technicians or project engineers.
  • An onboarding plan covering access, tools, security policies and introductions.
  • Regular check-ins with your IT lead on progress, fit and workload.
  • Backing from Promatics' wider service team for escalations and specialist questions.
  • Continuity planning, so absences do not leave you without cover.
  • Documentation of work completed, handed over at the end of the engagement.

Not included unless agreed separately

  • Responsibility for outcomes of work directed by your team, unless separately scoped as a project.
  • Hardware, software and licences.
  • Permanent placement or recruitment services.
  • Work outside the agreed role description, unless the agreement is changed in writing.

What we will need from you

Most delays in this kind of work come from access and decisions, not from the technical build. Knowing these early keeps the project predictable.

  • A named internal lead who directs the work and approves priorities.
  • Accounts, equipment and access provided on time for the start date.
  • Your policies on security, acceptable use and confidentiality, shared before the engagement starts.
  • Clear information about working hours and whether on-site presence is required.
Delivery

How the work is delivered

Each stage ends with something you can review before the next one starts.

  1. Define the need

We agree the role, skills, duration, hours, location and how success will be judged.

    Output: Role description and proposal.

  2. Match

We propose professionals with the right skills and experience, and you confirm the fit.

    Output: Confirmed placement.

  3. Onboard

Access, tools and introductions are arranged, and your policies are reviewed with the professional.

    Output: Onboarding checklist completed.

  4. Work and review

The professional works under your direction, with regular check-ins between your lead and Promatics.

    Output: Progress notes and adjustments.

  5. Wrap up

Work is documented and handed over, and access is removed at the end of the engagement.

Output: Handover notes and access removal confirmation.

Testing and handover

  • Every placement starts from a written role description and agreed hours.
  • Your security policies apply, and access is limited to what the role needs.
  • Work is documented in your systems, so knowledge stays with your organization.
  • Access is removed promptly when the engagement ends.
  • Concerns about fit or performance are raised and addressed quickly.

What affects the cost

We do not publish package prices. Each estimate is based on an agreed scope, in Canadian dollars, with taxes shown separately. These are the things that move the number most:

  • The skills and seniority required.
  • The duration of the engagement and hours per week.
  • Whether on-site work is needed and where.
  • After-hours or on-call requirements.
  • How quickly the role must be filled.

Questions buyers usually ask

How is staff augmentation different from co-managed IT?

With staff augmentation, a professional works as part of your team under your direction for a set period. With co-managed IT, Promatics takes ongoing responsibility for agreed areas, such as patching and monitoring, using our own tools and processes. Some organizations use both.

What kinds of roles can you fill?

Common roles include help desk and desktop support, network support, field technical support, systems administration, cloud administration and technical implementation for projects. Tell us what you need and we will say honestly whether we can fill it.

Who directs the work?

You do. Your IT lead sets priorities and reviews the work day to day. Promatics handles the engagement, supports the professional with escalations and provides cover if they are unavailable.

Can the work be done on site?

Yes. Engagements can be remote, on site or a mix, depending on the role. On-site work is arranged as part of the agreement.

Need extra IT capacity?

Tell us about the role, the skills needed and how long you need them. We will reply to arrange a conversation.
